1. Acceptance of Terms

By downloading, installing, or using FlowSpace ("the App"), you agree to be bound by these Terms and Conditions ("Terms"). If you do not agree to these Terms, do not use the App.

2. Description of Service

FlowSpace is a student-focused AI assignment manager for Windows, macOS, and Linux that helps students organize, track, and manage their academic assignments and tasks. The App provides:

  • Assignment and task management with cloud sync via AWS DynamoDB
  • Tutoring and assignment breakdown features (using Google Gemini API)
  • Workspace management and automatic application launching
  • Daily planning and study session tracking
  • Concept mastery tracking and personalized learning

3. Eligibility

The App is intended for use by students and educators. By using the App, you represent that you are at least 13 years of age (or the minimum age required in your jurisdiction to consent to the use of online services).

If you are under 18 years of age, you represent that you have obtained permission from your parent or legal guardian to use the App and that they have reviewed and agreed to these Terms on your behalf.

4. User Accounts and Registration

4.1 Google Account Sign-In

FlowSpace requires sign-in via your Google account using Google OAuth and AWS Cognito. By signing in, you authorize FlowSpace to receive your name, email address, and profile picture from Google for authentication purposes. You are responsible for maintaining the security of your Google account.

4.2 Onboarding Information

During initial setup, you may be asked to provide:

  • University or educational institution name
  • Major or field of study
  • Learning preferences

This information is synced to AWS DynamoDB to personalize your experience across devices.

5. Privacy and Data Collection

5.1 Cloud Storage

Your assignments, tasks, daily plans, work sessions, and preferences are stored in AWS DynamoDB as the primary data store. FlowSpace is a cloud-synced application. The only data stored exclusively on your device is workspace templates (SQLite).

5.2 Google Gemini AI

FlowSpace uses Google Gemini API for features such as:

  • AI tutoring with step-by-step guidance
  • Practice question generation
  • Concept explanation and mastery tracking

AI tutoring features process your content via Google Gemini API in the cloud. When you use AI tutoring, the problem or question text you submit is sent to Google's servers for processing. By using AI tutoring features, you acknowledge that problem content is sent to Google Gemini API.

Google Gemini API is governed by Google's Terms of Service and Privacy Policy. FlowSpace does not share your data with Google beyond what is necessary to process your AI tutoring requests.

5.3 Anonymous Analytics — PostHog

FlowSpace uses PostHog to collect anonymous usage analytics, including session duration, feature usage events, and navigation patterns. Analytics data uses an anonymous identifier and cannot be linked to your name or email. This data is never shared with your institution, professors, or any third party for evaluative purposes.

5.4 Session Analytics Upload

If you enroll in a professor's course inside FlowSpace, anonymized session analytics may be uploaded to AWS S3. This data is anonymized before upload and is used only for aggregate course-level reporting to the professor's institutional dashboard. You will be informed when connecting to a professor's course.

5.5 Network Usage

FlowSpace requires network access for:

  • Google OAuth authentication and AWS Cognito token management
  • Syncing your data to AWS DynamoDB
  • AI tutoring requests via Google Gemini API
  • Anonymous analytics via PostHog
  • App update checks via GitHub

5.6 What We Do Not Collect

FlowSpace does not collect:

  • Assignment file contents not submitted to the AI tutor
  • Browsing history or keystroke logging
  • Location data
  • Data for advertising or behavioral tracking purposes

6. User Responsibilities

6.1 Acceptable Use

You agree to use the App only for lawful purposes and in accordance with these Terms. You agree not to:

  • Use the App in any way that violates applicable laws or regulations
  • Attempt to reverse engineer, decompile, or disassemble the App
  • Use automated systems to access the App in a manner that sends more requests than a human can reasonably produce
  • Interfere with or disrupt the App or servers/networks connected to the App

6.2 Third-Party Services

When using FlowSpace, you agree to comply with the terms of service and privacy policies of Google (OAuth, Gemini), AWS, and PostHog as applicable to your use of the App.

6.3 Data Backup

While your data is synced to the cloud, you are responsible for exporting any data you wish to preserve independently. FlowSpace is not liable for data loss during beta testing.

7. Workspace Management and System Access

7.1 Application Launching

FlowSpace includes workspace management features that can automatically open applications on your device when you start a work session. By using this feature, you grant the App permission to launch applications and access application information for workspace configuration.

7.2 System Permissions

The App may request the following permissions:

  • Notifications: To remind you of upcoming deadlines and tasks
  • File Access: To manage workspace files (user-selected only)
  • Network Access: For cloud sync, AI tutoring, authentication, and analytics

You can revoke these permissions at any time through your OS settings.

8. Intellectual Property

8.1 Ownership

FlowSpace and all its original content, features, and functionality are owned by Grace Lee d/b/a FlowSpace and are protected by international copyright, trademark, and other intellectual property laws.

8.2 Your Content

You retain all rights to the data, assignments, notes, and other content you create or input into the App. FlowSpace does not claim ownership of your content.

8.3 License to Use

Subject to these Terms, FlowSpace grants you a limited, non-exclusive, non-transferable, revocable license to use the App for your personal, non-commercial use.

9. AI-Generated Content

9.1 Nature of AI Features

FlowSpace uses Google Gemini API to assist with AI tutoring, problem breakdown, practice question generation, and concept explanation. AI-generated suggestions are provided as educational guidance only.

9.2 Cloud Processing

By using AI tutoring features, you acknowledge that the problem or question content you submit is sent to Google Gemini API for cloud-based processing. This data temporarily leaves your device. See Section 5.2 and our Privacy Policy for full details.

9.3 No Guarantee of Accuracy

While we strive for accuracy, AI-generated content may contain errors or inaccuracies. You are responsible for reviewing and verifying all AI-generated suggestions before relying on them for academic work.

9.4 Academic Integrity

FlowSpace is designed to help you understand and learn, not to complete assignments for you. The AI tutor is a teaching tool. You are responsible for ensuring your use of the App complies with your institution's academic integrity policies. Submitting AI-generated explanations or answers as your own original work may violate academic integrity standards at your institution.

10. Disclaimers

10.1 Beta Software

IMPORTANT: FlowSpace is currently in beta testing. The App may be unstable, contain bugs, or have incomplete features. Features may change or be removed without notice. We make no guarantees regarding data integrity, reliability, or availability during the beta period.

10.2 "AS IS" Basis

THE APP IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

10.3 No Guarantee

FlowSpace does not guarantee that:

  • The App will be uninterrupted, secure, or error-free
  • The results obtained from using the App will be accurate or reliable
  • Any errors in the App will be corrected
  • Data will not be lost during beta testing

10.4 Third-Party Services

FlowSpace is not responsible for:

  • The availability, accuracy, or content of third-party services (Google, AWS, PostHog)
  • Any changes to third-party APIs that may affect App functionality
  • Data loss or corruption resulting from third-party service failures

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, GRACE LEE D/B/A FLOWSPACE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR ANY LOSS OF DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES RESULTING FROM:

  • Your use or inability to use the App
  • Any unauthorized access to or use of your data
  • Any interruption or cessation of the App
  • Any bugs, viruses, or other harmful code transmitted through the App
  • Any errors or omissions in any content or for any loss or damage incurred as a result of your use of any content made available via the App

12. Indemnification

You agree to indemnify, defend, and hold harmless Grace Lee d/b/a FlowSpace and her representatives from and against any claims, liabilities, damages, losses, and expenses, including reasonable attorney's fees, arising out of or in any way connected with:

  • Your access to or use of the App
  • Your violation of these Terms
  • Your violation of any third-party rights, including privacy rights or intellectual property rights

13. Updates and Modifications

13.1 App Updates

FlowSpace may update the App from time to time to add new features, fix bugs, or improve performance. Update packages are distributed via GitHub. When the app checks for updates, it sends only your app version and OS type — no personal information.

13.2 Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes by:

  • Updating the "Last Updated" date at the top of these Terms
  • Displaying a notification within the App

Your continued use of the App after changes to these Terms constitutes acceptance of the revised Terms.

14. Termination

14.1 By You

You may stop using the App at any time by uninstalling it. You can permanently delete your account and all associated cloud data from Settings > Account > Delete Account.

14.2 By Us

We reserve the right to terminate or suspend access to the App immediately, without prior notice, if you breach these Terms.

14.3 Effect of Termination

Upon termination:

  • Your license to use the App terminates immediately
  • You must cease all use of the App
  • You may request deletion of your cloud-stored data by contacting hello@myflowspace.app
  • Provisions of these Terms that by their nature should survive termination shall survive

15. System Requirements

FlowSpace supports:

  • Windows 10 or later
  • macOS 12 or later
  • Linux (Ubuntu 20.04 or later; other distributions may work but are not officially supported)
  • Sufficient storage space for local data and app installation
  • Internet connection for cloud sync and AI tutoring features

The App may not function properly on unsupported systems.

17. Export Controls

You agree to comply with all applicable export and re-export control laws and regulations of the United States, including the Export Administration Regulations maintained by the U.S. Department of Commerce.

18. Governing Law and Dispute Resolution

18.1 Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of California, United States, without regard to its conflict of law provisions.

18.2 Dispute Resolution

Any dispute arising from these Terms or your use of the App shall be resolved through:

  • Good faith negotiations between the parties
  • If negotiations fail, binding arbitration in accordance with the American Arbitration Association's rules
  • Arbitration shall take place in the State of California, unless otherwise agreed by the parties
  • Each party shall bear its own costs in any dispute resolution process

Either party may seek injunctive or other equitable relief in court to prevent actual or threatened infringement, misappropriation, or violation of intellectual property rights.

18.3 Class Action Waiver

You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action. You waive any right to participate in a class action lawsuit or class-wide arbitration.

19. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that these Terms shall otherwise remain in full force and effect.

20. Entire Agreement

These Terms constitute the entire agreement between you and FlowSpace regarding the use of the App and supersede all prior agreements and understandings, whether written or oral.

21. No Waiver

No waiver of any term of these Terms shall be deemed a further or continuing waiver of such term or any other term, and FlowSpace's failure to assert any right or provision under these Terms shall not constitute a waiver of such right or provision.

23. Acknowledgment
